  • Feedback, complaints and records of how we resolve them.

  • Technical information collected through our website, as explained in the cookies section below.

We usually obtain information directly from you. We may also receive relevant information from someone acting on your behalf, such as a property owner, developer or main contractor, and from organisations involved in your installation, certification or warranty.

Please only provide information about other people where necessary and ensure they know you are sharing it with us.

We use personal information for the following purposes:


Purpose: Responding to your request for a quotation, arranging surveys and preparing proposals

Purpose: Designing, supplying, installing and supporting your system

Lawful basis: Performing our contract with you


Purpose: Managing business enquiries and contracts where you represent an organisation

Lawful basis: Our legitimate interests in communicating with business customers and delivering services


Purpose: Managing accounts and keeping records required by tax or other applicable law

Lawful basis: Complying with legal obligations


Purpose: Arranging applicable certification, financial protection and warranty registration

Lawful basis: Performing our contract where necessary, and our legitimate interests in providing certified installations and customer protection


Purpose: Investigating complaints, maintaining service records and handling disputes

Lawful basis: Our legitimate interests in resolving problems, improving services and establishing or defending claims


Purpose: Protecting our systems and preventing misuse or fraud

Lawful basis: Our legitimate interests in operating a secure business


Purpose: Sending optional promotional emails where you have opted in

Lawful basis: Your consent


Where we rely on legitimate interests, we consider the impact on your rights and use your information only where those interests are not overridden by your rights and freedoms.

If information is needed to prepare a quotation, fulfil a contract or meet a legal obligation, we will explain this. Without it, we may be unable to provide the relevant service.

4. Who we share information with

We share relevant information only where necessary for the purposes described above. Recipients may include:

  • Instool and OpenSolar, which we use for job administration, design, quotations and installation records.

  • Suppliers, delivery companies and subcontractors involved in your project.

  • Equipment manufacturers and warranty providers.

  • IWA and relevant insurers, where needed to arrange deposit protection, guarantee insurance or handle a claim.

  • MCS and our Certification Body, where your installation falls within the MCS scheme.

  • Your electricity Distribution Network Operator and relevant Building Control or competent-person scheme providers.

  • Providers of website hosting, email, IT, accounting and payment services.

  • Professional advisers, regulators or public authorities where necessary or legally required.

For MCS installations, we provide relevant customer contact and installation details to MCS for registration and certification. MCS may contact you about your installation and customer experience.

Some recipients act as independent controllers and explain their own use of information in their privacy notices. Service providers acting on our behalf must handle information under appropriate contractual arrangements.

5. How long we keep information

We keep personal information only for as long as needed for the purpose for which it was collected, including relevant legal, certification, warranty and dispute requirements.

  • Enquiries that do not become installations: Normally retained for 24 months from our last meaningful contact with you, unless there is a legal, regulatory or legitimate business reason to retain the information for longer.

  • Installation and certification records: at least six years to meet applicable MCS record requirements. For commercial contracts, the supplied MCS Customer Commitment requires retention for at least six years from the end of the last company financial year to which the records relate, or longer where the contract requires it.

  • Guarantee, warranty and complaint records: for as long as reasonably necessary to administer the relevant guarantee, resolve the complaint and meet applicable recordkeeping or claims requirements.

  • Marketing preferences: for as long as needed to respect your choices. We may retain a minimal suppression record after you opt out to avoid contacting you again.

Where we retain information for longer, we consider the applicable obligation, guarantee period or ongoing dispute. We securely delete or anonymise information when it is no longer needed.

6. Keeping your information secure

We use appropriate technical and organisational measures to protect personal information from unauthorised access, loss, misuse or disclosure.

Access is limited to people and service providers who need it for their work. We review our arrangements to help keep information secure.

7. Marketing

Sending an enquiry or requesting a quotation does not automatically subscribe you to promotional emails.

Where we seek your consent to receive marketing, the choice will be separate and optional. You can withdraw consent at any time using the unsubscribe option in our emails or by contacting evan@wrensolar.co.uk.

Withdrawing marketing consent does not prevent us from sending necessary communications about your quotation, installation, warranty or ongoing service.

8. Your rights

Depending on the circumstances, you may have the right to:

  • Request access to your personal information.

  • Ask us to correct inaccurate or incomplete information.

  • Ask us to delete information.

  • Ask us to restrict how we use information.

  • Request certain information in a portable format.
